To turn Word documents or other Office files into Excel spreadsheets (XLS/XLSX), you can copy and paste tables directly, import them as plain text, or use online converter tools.
The best method depends on how your original document is structured. Method 1: Direct Copy & Paste (Best for Clean Tables)
If your Word document already contains structured data or a table, you can move it instantly. Open the Word file.
Click the four-way arrow icon at the top-left corner of the table to highlight it. Press Ctrl + C (or Cmd + C on Mac) to copy it. Open your Excel workbook. Click cell A1 and press Ctrl + V (or Cmd + V) to paste.
Click the small Paste Options tag near the cell and choose Match Destination Formatting if the layout looks stretched.
Method 2: Import as Plain Text (Best for Large or Complex Data)
If a direct paste ruins your layout, use Excel’s built-in data importer. Open your Word file and click File > Save As.
Click Browse and change the “Save as type” dropdown menu to Plain Text (.txt). Save the file. Open a blank Excel spreadsheet. Go to the Data tab at the top ribbon. Click From Text/CSV (or “Get Data > From File”). Select your saved text file and click Import.
Excel will show a preview window. If the data aligns neatly into columns, click Load.
Method 3: Use Free Online Converters (Fastest for Zero-Effort conversion)
If you don’t want to format anything manually, automated web tools will parse the document for you.
Smallpdf Word to Excel: Automatically converts your files safely in your browser.
CloudConvert XLS Tool: Great for converting older formats (.doc or .rtf) into clean spreadsheets.
CoolUtils DOC to XLS: Extracts specific tables out of word documents and places each one on its own Excel tab. Method 4: Convert via PDF (Best for Formatting Retention)
If you have Adobe Acrobat, saving your file as an intermediary PDF yields excellent structural results. In Word, click File > Save As and choose PDF format.
Open that PDF in Adobe Acrobat or use the free Adobe PDF to Excel Online Converter.
Select Export PDF and choose Spreadsheet / Microsoft Excel Workbook as your output format.
